Parent/Guardian Concern Process
Level 1

Teacher
Most issues are able to be resolved by having a conversation with your child’s teacher.
- Schedule a meeting to address the concern.
- Make sure you talk about the best possible solutions to support the student.
- If you are unable to resolve the concern with the teacher, escalate to level 2.
Level 2

Administrator
Sometimes, it’s helpful for the family and the teacher to involve an administrator in the conversation.
- Schedule a meeting with the Assistant Principal or Principal at your child’s school.
- Once again, talk about the best possible solutions to address your concern. It’s important for all parties to approach the conversation with an open mind.
- If you are unable to resolve the concern with an administrator, escalate to level 3.
Level 3

Specialist
The School District of Lancaster employs a full-time Family Concerns Specialist to help families navigate concerns that have not been resolved by working with either a teacher or a school leader. For students with IEPs, often a Special Education Coordinator will become involved.
- Schedule a meeting with the Family Concerns Specialist or Coordinator of Special Education.
- Explain the ongoing concern, including the outcome of conversations with teachers and administrators in levels 1 and 2.
- If the Family Concerns Specialist is unable to resolve the concern, they will escalate to level 4.

Level 4

Supervisor
The Family Concerns Specialist is part of the Office of School Leadership, which is led by Directors of Schools. These central administrators supervise school principals. At this level, they can become involved to address the concern. If the student has an IEP, the Director of Special Education may also become involved.
- The Director of Schools or Director of Special Education will contact the Parent/Guardian.
- Work with the Family Concerns Specialist to explain the ongoing concern and the efforts made to resolve the concern in levels 1-3.
- If the concerns persist, the director will escalate to level 5.
Level 5

Executive
At this level, the Assistant Superintendent of Student Services becomes involved in addressing ongoing concerns.
- The Assistant Superintendent of Student Services will contact the parent/guardian.
- Work with the Family Concerns Specialist to explain the ongoing concern and the efforts made to resolve the concern in levels 1-4.
- If the concerns persist, the executive director will escalate to level 6.
Level 6

Superintendent
The superintendent is the final level in addressing a family’s concern. The superintendent will review all relevant facts and the steps taken to resolve the concern by all parties in levels 1-5, so it is important that every effort be made to resolve the concern prior to this step. The superintendent will make a final determination to address the concern with the parent/guardian.
