Facilities Rentals

The School District of Lancaster provides facilities for use to a variety of organizations inside and outside the school district. Facility and personnel fees vary depending on the organization and activity. The first step is to determine which “Group” your organization fits best and then reference the forms for pricing and additional information.

The following groups are not exhaustive, and each group will be reviewed and placed appropriately as part of the application process.

Group 1

Groups or organizations directly related to school district programs and students.

  • School programs
  • School affiliated Parent Teacher Organizations (PAC)
  • Teacher and Support Staff Associations
  • School affiliated booster clubs, including camps run by booster clubs
  • School affiliated co-curricular, extra-curricular, and intermural activities
  • Invitational athletic events sponsored by the booster clubs and /or athletic teams
  • PIAA and LL League athletic events
  • Employee wellness program
  • County or State government or educational organizations approved by the school board
  • Lancaster Recreation Commission Youth Programs

Group 2

Non-profit organizations that are chartered or established totally within the School District of Lancaster and whose program shall provide civic, educational, or athletic benefits to a group, which shall consist of a minimum of seventy percent (70%) of School District of Lancaster students.  Groups must provide a roster of participants.

  • Local youth sport organizations (AAU)
  • Lancaster Recreation Commission Non-Youth Programs
  • Civic and community organizations

Group 3

Non-profit organizations not chartered or established totally within the School District of Lancaster, for profit organizations, or individuals that do not fall within Group 1 or Group 2.

  • Youth sport organizations (AAU)
  • Relay for Life
  • College courses offered by colleges

Instructions

  1. Read the following document: a. Board Policy 707
  2. Complete the FACILITIES RENTAL APPLICATION found in FMX and return necessary documents.
  3. Upon review and approval of user application, user will be notified of application status and user group designation
  4. Complete facility usage request in FMX

Per Board Policy 707: Request must be submitted at least 30 days prior to the requested start date.

    Facility and personnel labor fees are assessed to protect the investment made by our community in the School District of Lancaster. Fees are used to cover the expense of personnel, facility maintenance and upkeep as well as supply and utility costs.

Fees are non-negotiable

Facility and personnel labor fees are assessed to protect the investment made by our community in the School District of Lancaster. Fees are used to cover the expense of personnel, facility maintenance and upkeep as well as supply and utility costs. The Facilities Fee Schedule is updated annually by the Office of Business & Operations, Office of Facilities, and the School Board.

  • Group 1 – No facility fees, all applicable personnel fees
  • Group 2 – 50% of facility rental rate, all applicable personnel fees
  • Group 3- 100% of facility rental rate and applicable staffing fees

The facilities office reserves the right to charge personnel fees during school days if the activity requires dedicated staffing coverage.

  • An approved SDOL employee(s) or non-employee contactor must be present during any activity or event.
  • A SDOL employee(s) may not be paid directly from any individual, group, or organization.
  • Organization employees or volunteers may not be used in lieu of a SDOL employee.

Concessions

The SDOL Booster Clubs have priority to offer concessions at any event in the SDOL.
